Viewpoint Vista - Configuring pVault to use Viewpoint Vista Job Routing Rules

It is possible to route invoices to reviewers assigned to jobs in the Viewpoint accounting system.

In pVault

  1. From the ribbon toolbar, click Administration.

  2. Click Vaults



    The Vaults window similar to the following displays:



    Note:  If multiple vaults display, click to highlight the Viewpoint vault.

  3. Click Edit Vault.

    The Vault Properties window similar to the following displays with the General tab active:


  4. Click the Bridge tab.

  5. Click to select Use Viewpoint's Job Routing Rules.

  6. Click OK to close the Vault Properties window.

  7. Click Close to close the Vaults window.

  8. From the ribbon toolbar, click APFlow.

  9. Click Manage APFlow

  10. In the Accounting System Mapping section, right click the Reviewer Mapping field label to display a Reviewer dialog box similar to the following:



    Important:  Make sure the user is an active user of the vault and has AP Reviewer permissions.

In Viewpoint Vista

  1. Log in to Viewpoint Vista.

  2. From the Menu tree, select Job Cost.

  3. From the Job Cost dropdown, select Programs.

  4. From the Programs list, click to select JC Job Master.



    The following window displays with the Info tab active:


  5. Click the Reviewers tab.

    The following window displays:



    Note:  If the row in the grid is blank, click in the row and enter a routing sequence number in the Seq field, followed by the reviewer's initials in the Reviewer field. 

  6. Click the X in the upper right corner of the window to close it.


In pVault

Test the user mapping by adding a job line to an invoice and routing it.

Important:  Make sure no exclusive rules are firing that could prevent further rules and accounting routing rules from firing.
 
Open the Check Invoice Route Rules to verify there are no entries related to accounting routing rules.

  1. From the ribbon toolbar, click APFlow.

  2. Click Invoice Entry

    .

  3. From the APFlow sidebar, click either New Invoice or Edit Invoice.

  4. Click Route Invoice

    .

  5. Click Check Invoice Route Rules.

    Any Reviewers who are part of a routing rule will be systematically assigned to the invoice lines in the proper sequence.

  6. Click Done.
